Answers to the questions landlords, renters and applicants ask most.
KzRentals is rental management software for landlords and property managers. In one place you can keep your rental properties, renters and leases, send leases for electronic signature, track rent and payments, send reminders, give renters their own portal, record expenses and mileage, run tax reports, and handle inspections, security deposits and rental applications. You can also let renters pay online.
After you sign up and confirm your email, the Getting started card on your dashboard walks you through the essentials:
You can do these in any order and come back to the card at any time.
Anything you rent out: a house, an apartment or unit, a room, a parking space, equipment or a vehicle. Each rental object that isn't archived counts toward your plan's limit. Archive an object you no longer rent to keep its history without it counting.
Yes. Renters, Rental objects, Vendors, Expenses and Mileage each have an Import CSV button. Download the sample file to see the columns, fill in your data, and upload it. Every row is checked and listed with the reason it can't be imported before anything is saved. You can also import bank or card statements on the Expenses page.
Yes. Open the business switcher in the menu and choose New business, for example for a second LLC. Each business has its own records, team and plan. Only one business per person can be on the Free plan, and the free trial applies to your first business only.
Yes, on plans that include team members. On the Team page, invite people by email and choose what each person may do, such as managing properties, leases, payments, expenses or billing. Owners can do everything.
Upload your own lease PDF once under Lease templates, then place the fields: what renters fill in or sign, what you fill in or sign, and details KzRentals fills in automatically, such as names, the address, rent and dates. Every lease created from the template uses it. If you change a template, leases made from it that nobody has signed yet are updated right away.
When you send a lease, each signer receives a personal link by email that stays valid for 14 days. By default you sign first, then your renters. Signers can save their progress and finish later. When everyone has signed, KzRentals adds a signature certificate (with each signer's name, email, time and IP address), activates the lease and emails the signed PDF to everyone. Electronic signatures are generally valid in the United States under the ESIGN Act and UETA, but some documents or places may have special requirements, so check with a legal professional if you're unsure.
Until the first person signs, you can change the terms (rent, dates, deposit, late fee and notes) and the lease updates for everyone. After someone has signed, you can extend the end date, change the late fee and notes. For new rent or new renters, use Renew; to finish a lease early, use End lease.
Yes. Create the lease without a template and choose Activate. Rent charges start as with any other lease, and you can upload the signed paper copy as a document.
Open a current lease and choose Renew. KzRentals drafts a new lease that starts after the current one ends, with the same renters and terms for you to adjust. You can carry the security deposit over. Send or activate the renewal like any lease; the old lease ends on its end date.
Automatically from each lease: monthly rent on the due day you chose (with a prorated first and last period when needed), or weekly or daily rent. Charges are created up to about a month ahead. If the lease has a late fee, it's added once the grace period has passed.
Open the lease and use Record payment (Zelle, cash, check, bank transfer and so on). Payments are applied to the oldest unpaid charge first, and the renter is emailed a receipt.
Renters can report a payment from their portal, with an optional screenshot. You'll be notified; confirm it once the money has arrived, or reject it. Only confirmed payments count toward the balance.
When reminders are on, renters receive a reminder before rent is due and notices when rent is overdue (on the first and seventh day), and you are reminded about leases ending in 60 and 30 days, insurance renewals and inspections. You can change the timing or turn reminders off in Business settings.
When a lease ends, open its Deposit page, list any deductions (with links to inspection items or expenses if you like), and send the itemized statement to your renter. Unpaid rent can be deducted from the deposit, and you record the refund once you've paid it.
Go to Settings → Online payments and choose Set up with Stripe. Stripe, our payment processor, asks for your business details and the bank account for your payouts. Once your account is ready, switch on Accept rent online and choose cards, bank accounts or both. Renters then see Pay online in their portal. Card payments are instant; bank payments take about four business days to clear. Online payments are optional: you can keep recording payments yourself.
Each online payment has two separate fees:
You choose who pays them: either they come out of your payout, or renters pay them as a convenience fee so you receive the full rent. Some states limit fees on card payments, and your lease may need to mention them, so check before passing fees on. Payments you record yourself have no fees.
Online payments go straight to your own Stripe account and are paid out to your bank on Stripe's payout schedule, usually within a few business days. Use the Stripe dashboard button on the Online payments page to see payouts and change your bank account.
Refunds and card disputes are handled in your Stripe dashboard (the Stripe dashboard button on the Online payments page). Stripe will contact you about any dispute and the evidence it needs.
Open a renter and invite them to the portal; they create their own login from the email. Renters are also invited automatically when they sign a lease. In the portal they can see their lease, balance, payment history and receipts, download documents you share, report or make payments, and send maintenance requests.
Yes. On a renter's page, choose View as renter to see their portal exactly as they do, without being able to change anything.
Open a rental object and turn on applications. You'll get a link to share in your listing. Applicants fill in their contact details, employment, rental history and references, and you're notified of each application. KzRentals doesn't ask applicants for Social Security numbers. Approve an applicant to add them as a renter and start their lease.
KzRentals works with the screening company you choose, such as TransUnion SmartMove or RentSpree:
KzRentals never receives or stores screening reports.
Apply the same screening criteria to every applicant for the same rental, and follow fair housing laws and your state and local rules on screening, criminal history and application fees. If anything in a screening report contributes to a decision against an applicant, the Fair Credit Reporting Act requires you to send them an adverse action notice; most screening providers can send it for you.
Add expenses with a photo or PDF of the receipt, a category and the property they belong to. You can split one expense across several properties, set up recurring expenses (such as insurance or HOA dues), keep a list of vendors, import bank or card statements, and log business mileage.
On plans with tax reports you get a Schedule E summary per property (including depreciation and mileage at the IRS standard rate), 1099 totals for your vendors, and a year-end package with every report and your receipts in one download. These reports are estimates based on what you've entered; review them with your tax professional.
The pricing section on our home page and the Billing page list every plan's features, rental-object limit and online payment fee. The Free plan is free of charge, and new accounts get every feature free during the trial period.
Everything is on the Billing page. Upgrades take effect immediately, with the price difference prorated. You can only switch to a plan that fits the number of active rental objects you have. If you cancel, you keep your plan until the end of the period you've paid for, then move to the Free plan. Nothing is deleted.
This can happen when a subscription ends or a payment fails. We'll let you know, and you'll have 7 days to archive rental objects or choose a plan that fits. After that, your business becomes read-only until it's within its plan's limits: you can still view and download everything, archive rental objects, end leases and change your plan, and your renters keep access to their records. Automatic charges, reminders and online payments pause in the meantime and pick up again when you're back within the limit.
Choose Forgot password? on the sign-in page and we'll email you a link to set a new one. For your security, the number of reset emails and sign-in attempts is limited for a short time after repeated tries.
Everything travels over encrypted connections. Sensitive details such as renter ID numbers, vendor tax IDs and signatures are encrypted where they're stored. Uploaded files are private: they're never at a public address, and each download is checked against who is asking. You decide which team members can see sensitive documents. Read more in our Privacy Policy.
Most records can be exported or deleted in the app, and the year-end tax package downloads your reports and receipts. To export everything or close your account, contact us through Help & support.
Open the link in the email from your landlord. Review the lease, fill in the highlighted fields, add your signature and choose Finish & sign. You can save your progress and come back later. When everyone has signed, you'll receive the signed copy by email.
Signing links expire for your security. Ask your landlord to send the lease again, and you'll receive a new link.
If your landlord accepts online payments, sign in to your renter portal and choose Pay online. Otherwise, pay as your landlord instructs, then choose I made a payment in the portal so they can confirm it.
Please contact your landlord. KzRentals provides the software your landlord uses, but your landlord manages your lease, charges and deposit, and only they can change them.
Contact the screening company named in your screening email. Your landlord receives the report from that company; KzRentals never sees it.
Landlords can contact us through Help & support in the app or by email at Support@KzRentals.com. Renters and applicants: please contact your landlord first.
